VetClaim Services (“VetClaim,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and what rights you have regarding your data. We handle veteran information — including sensitive medical documents — with the utmost care and apply strong protections to everything you share with us.
1. Information We Collect
Account Information
When you create an account, we collect your name, email address, and a securely hashed version of your password. We never store your password in plaintext.
Veteran Profile
You may voluntarily provide profile information to personalize your benefits analysis, including your branch of service, Military Occupational Specialty (MOS) or rate, current VA disability rating, and state of residence. This information is always optional and provided at your discretion.
Uploaded Documents
When you upload documents — such as C&P exam results, medical records, VA decision letters, or discharge paperwork — we store the original files in secure cloud object storage and extract the text content for analysis. You control what you upload.
Chat Conversations
We retain the messages you send and receive through the VetClaim chat interface to provide continuity of service and allow you to reference prior conversations. You may delete individual conversations or your entire chat history at any time.
Usage Data
We collect information about how you use VetClaim, including pages visited, features used, and session timing. This data helps us improve the platform and is aggregated and anonymized before use in any product analysis.
Payment Information
Subscription payments are processed by Stripe. VetClaim does not store your credit card number, card expiration date, or CVV. We retain only a subscription status indicator and Stripe customer ID to manage your account. Stripe's handling of your payment data is governed by Stripe's Privacy Policy.
2. How We Use Your Information
- Personalized benefits analysis: We use your veteran profile and uploaded documents to generate tailored benefits recommendations, identify potential secondary conditions, calculate estimated ratings, and surface programs you may qualify for.
- Document processing: Uploaded documents are analyzed using automated AI tools to extract relevant information and provide you with actionable insights. See Section 4 for details on third-party processors.
- Chat continuity: We retain your conversation history so the platform can reference prior context, reducing the need to re-explain your situation every session.
- Service improvement: We analyze aggregated, anonymized usage patterns to improve the platform. Individual user data is never used for this purpose in identifiable form.
- Payment processing: We use your account information to manage your subscription, process billing, and send transactional communications about your account status.
3. Sensitive Health Information
Important: You should not upload documents containing Social Security Numbers. If you do, we are not responsible for the security of that data beyond our standard security measures described in Section 6.
VetClaim is not a healthcare provider and is not subject to HIPAA. However, we recognize that documents you upload may contain sensitive health information, and we treat all uploaded documents as confidential. We apply the same security measures regardless of content type.
By uploading documents, you consent to their processing by our AI analysis tools, including third-party AI service providers operating under strict contractual data protections. You retain ownership of all documents you upload.
4. Third-Party Service Providers
We work with trusted third-party providers to operate VetClaim. All providers are bound by contractual obligations that restrict their use of your data to providing services to VetClaim only.
We use third-party AI service providers to process and analyze your documents and chat messages. These providers operate under contractual obligations that prohibit them from using your data for model training or any purpose other than providing our service.
We use third-party cloud storage providers to securely store uploaded documents. Stored files are encrypted at rest and in transit and are accessible only to authorized VetClaim systems.
We use Stripe for payment processing. Stripe handles all credit card data directly and is PCI DSS Level 1 certified. VetClaim never handles or stores raw card data.
Your account information, document text, and chat messages are stored in a PostgreSQL database hosted on secure infrastructure. Access is restricted to authenticated VetClaim services only.
We do not sell, rent, or trade your personal information to any third party for marketing purposes. We do not share your data with any party not directly involved in providing the VetClaim service.
5. Data Retention
Documents, chat messages, and profile information are retained for the duration of your account. You may request deletion of specific documents, specific conversations, or your entire account at any time through the platform settings or by contacting us at support@veteranclaimservices.com.
Upon account deletion, all personal data — including uploaded documents, chat history, and profile information — is permanently removed from our systems within 30 days. Anonymized, aggregate data not linked to your identity may be retained for service improvement purposes.
6. Data Security
We implement industry-standard security measures to protect your data:
- All data is transmitted over encrypted connections using HTTPS/TLS.
- Stored files and database contents are encrypted at rest.
- Access to your data is restricted by authentication and access controls on all systems.
- We conduct regular security reviews of our infrastructure and code.
- Passwords are stored using strong one-way hashing algorithms and are never stored in recoverable form.
No system is 100% secure. While we work hard to protect your data, we cannot guarantee absolute security against all possible threats. If you believe your account has been compromised, contact us immediately at support@veteranclaimservices.com.
7. Your Rights
You have the following rights with respect to your personal information:
You may request a copy of the personal information we hold about you.
You may request deletion of your account and all associated data at any time.
You may request an export of your data in a machine-readable format.
You may update your account information and veteran profile at any time through your account settings.
You may opt out of non-essential communications at any time by updating your notification preferences.

8. Children's Privacy
VetClaim is intended for adults aged 18 and older. We do not knowingly collect or solicit personal information from anyone under the age of 18. If you believe we have inadvertently collected information from a minor, please contact us immediately and we will promptly delete it.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page and notify you via email if the changes are material. Your continued use of VetClaim after any update constitutes your acceptance of the revised policy.
